This policy explains how Kirana Live Events Sdn. Bhd. (“Kirana”, “we”, “us”) handles personal data collected through petworks.my and in the course of planning events for our clients. We process personal data in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.
Data we collect
When you submit our enquiry form we receive the name, email address, optional phone number and event details you choose to share. If you become a client, we additionally collect billing information, guest list data supplied by you, and correspondence relating to your event. Our web server also records routine technical logs, including IP addresses and pages visited, for security and troubleshooting.
Why we process it
- To respond to enquiries and prepare proposals you have requested.
- To perform contracts: planning, coordinating and delivering your event.
- To meet legal obligations, including tax and accounting record-keeping.
- To maintain the security and performance of this website.
We do not sell personal data, and we do not send marketing emails without your consent.
Guest lists deserve a special note
When clients share guest information with us for registration, seating or transport purposes, we act on the client’s instructions, use the data solely for that event, restrict access to the assigned planning team and delete working copies within 90 days of the event concluding, unless the client instructs otherwise or the law requires retention.
Sharing with third parties
We share data only where delivering your event requires it — for example, providing a rooming list to a hotel or a guest count to a caterer — and only the minimum each supplier needs. Suppliers are bound by confidentiality terms. We may disclose data where required by Malaysian law or a competent authority.
Retention
Enquiry records are kept for 24 months from last contact. Client project files are kept for 7 years to satisfy statutory record-keeping requirements, then securely destroyed.
Your rights
Under the PDPA you may request access to your personal data, ask us to correct it, withdraw consent to processing, or limit how we use it. Write to [email protected] with the subject “Data Request” and we will respond within 21 days.
Security
Data is stored on access-controlled systems, transmitted over encrypted connections and available only to team members who need it for their role. No system is perfectly secure, but we treat your data with the same care we apply to a client’s show file.
